Job Description

Key Responsibilities

1. Product and Business Analysis

  • Gather, analyze, clarify, and document business and product requirements from internal and external stakeholders.
  • Translate business requirements into structured user stories, acceptance criteria, process flows, and functional documentation.
  • Identify ambiguities, gaps, dependencies, and conflicting requirements, and facilitate alignment with the relevant stakeholders.
  • Support backlog creation, refinement, prioritization, and maintenance in coordination with product, delivery, and technical teams.
  • Conduct basic product, process, user, and competitor research to support product decisions and recommendations.
  • Participate in solution discussions to ensure that proposed implementations address the intended business objectives.
  • Support the preparation and maintenance of product and delivery documentation, including Business Requirements Documents, Product Requirements Documents, user stories, acceptance criteria, process and workflow documentation, release notes, user and training guides, and completion and acceptance documents.

2. Project Planning and Delivery Management

  • Independently manage assigned projects, workstreams, or major initiatives from planning through implementation and closure.
  • Develop and maintain delivery plans, timelines, milestones, action items, dependencies, and completion criteria.
  • Coordinate sprint planning, backlog refinement, stand-ups, reviews, retrospectives, and other Agile delivery activities.
  • Track deliverables and commitments across development, quality assurance, infrastructure, data, and business teams.
  • Ensure that requirements, decisions, dependencies, and delivery expectations are clearly understood by the project team.
  • Monitor delivery progress and proactively follow up on pending actions and commitments.
  • Identify schedule risks, resource constraints, scope changes, and delivery blockers.
  • Escalate issues early and provide clear impact assessments, mitigation options, and recommended next steps.
  • Coordinate testing, user acceptance testing, deployment readiness, release activities, and post-implementation validation.
  • Support project closure by ensuring that required approvals, completion documents, and outstanding actions are properly addressed.

3. Stakeholder Communication and Coordination

  • Serve as a coordination point for assigned projects and initiatives.
  • Facilitate discussions between business stakeholders, clients, product teams, developers, QA engineers, and technical leads.
  • Communicate project status, risks, blockers, dependencies, decisions, and changes in a clear and timely manner.
  • Manage stakeholder expectations by aligning scope, timelines, priorities, responsibilities, and delivery constraints.
  • Prepare meeting agendas, minutes, action trackers, project updates, executive summaries, and status reports.
  • Follow through on decisions and ensure that agreed actions are assigned, documented, and completed.
  • Handle disagreements and delivery conflicts professionally through clear communication, objective assessment, and structured resolution.
  • Build productive working relationships while maintaining accountability for agreed commitments.

4. Risk, Issue, and Change Management

  • Maintain visibility over project risks, issues, assumptions, and dependencies.
  • Anticipate risks that may affect scope, schedule, quality, cost, or stakeholder expectations.
  • Develop and track appropriate mitigation and contingency actions.
  • Coordinate the resolution of project issues by identifying owners, deadlines, impacts, and next steps.
  • Support the assessment and documentation of change requests, including business justification, scope impact, delivery impact, risks, and dependencies.
  • Ensure material changes are reviewed, approved, and communicated before implementation.
  • Escalate unresolved or high-impact risks and issues to the appropriate decision-makers.

5. Process Improvement and Operational Excellence

  • Identify opportunities to improve project governance, delivery workflows, reporting, documentation, and team coordination.
  • Take initiative in solving recurring process or delivery problems.
  • Contribute to the development and improvement of templates, standards, checklists, and standard operating procedures.
  • Use automation, artificial intelligence, and productivity tools where appropriate to improve quality, efficiency, consistency, and traceability.
  • Participate in retrospectives, knowledge-sharing activities, and continuous-improvement initiatives.

Required Education and Experience

  • Bachelor's degree in Information Technology, Computer Science, Engineering, Business Administration, Management, or a related field, or equivalent professional experience.
  • At least 1-3 years of relevant experience in project management or coordination, product management or product operations, business analysis, software delivery, technology consulting, quality assurance, or implementation coordination.
  • Experience supporting or independently managing a project, major initiative, or workstream from planning through completion.
  • Experience working with cross-functional software development teams.
  • Experience coordinating stakeholders and managing project issues, delivery delays, or changing requirements.
  • Practical experience with Agile or Scrum-based delivery environments.

Technical Requirements

1. Agile Delivery Experience

  • Working knowledge of Agile and Scrum principles.
  • Experience participating in or facilitating sprint planning, backlog refinement, daily stand-ups, sprint reviews, and retrospectives.
  • Understanding of the software development lifecycle from requirements through release and support.

2. Azure DevOps or Equivalent Platforms

  • Experience using Azure DevOps, Jira, or a comparable project and backlog management platform.
  • Ability to create, update, organize, and monitor epics, features, user stories, tasks, bugs, backlogs, sprint boards, queries, and dashboards.

3. Technical Literacy

  • General understanding of software systems and integrations.
  • Ability to participate effectively in technical discussions involving APIs and system integrations, data flows and mappings, front-end and back-end components, databases and data validation, development and production environments, testing, and deployment processes.
  • Ability to translate technical topics into clear business and stakeholder updates.
  • Ability to work with technical teams without being expected to perform software development.

4. Documentation

  • Familiarity with AI-assisted tools for research, documentation, summarization, analysis, and process improvement.

Preferred Qualifications

  • Experience working in a technology, software development, consulting, or digital product environment.
  • Experience coordinating client-facing technology projects.
  • Familiarity with software testing, user acceptance testing, production deployment, and incident management.
  • Experience preparing project status reports, risk registers, change requests, incident reports, or implementation plans.
  • Exposure to process mapping, data analysis, reporting tools, or workflow automation.
  • Relevant certifications or training in Agile, Scrum, project management, business analysis, or product management are an advantage.
